1) If you sell multi-year memberships, then include those in both the numerator and the denominator.
2) If you allow the transfer of memberships when people leave their organization, then the transfers should be treated as renewed members when calculating the retention rate.
3) If expired members are retained for a lengthy period of time before being dropped from the membership rolls, then it may be hard to calculate a final retention rate. One option may be to calculate the retention rate as it stands 60 days after the expiry period so that comparative numbers can be created.
Ideas to improve the retention rate and/or encourage earlier payment of renewal fee

Use a mix of mail, telephone, and HTML e-mail renewal communications.

Offer a premium or special offer for early renewal.

Offer a variety of payment options.

Use two fee levels – one that applies if paid before the deadline and a higher fee if paid after the deadline
